Description Of Work:
This position is responsible for the coordination of administrative office duties for the FasTracks Project. Requires initiative and discretion in making decisions on behalf of the FasTracks Program Management team.
Duties & Responsibilities:
ESSENTIAL:
Conducts self in an appropriate manner as a representative of RTD, working effectively in a diverse work environment.
Composes correspondence from verbal instructions or notes.
Performs daily pick-up and distribution of FasTracks mail. Screens incoming correspondence, publications, and telephone calls. Brings important issues to the immediate attention of the FasTracks Senior Managers and Project Managers, and keeps same informed of any imbalances or inappropriate requests.
Coordinates, prepares agendas, and develops meeting minutes for key FasTracks meetings.
Performs administrative duties relative to ongoing functions within the FasTracks Implementation Division; coordinates clerical activities; requests/disseminates information on various projects; sets up meetings with District employees, Board members, government officials and other public and private persons.
Prepares travel arrangement request forms. Reviews travel expense reports to ensure compliance with District policies.
Monitors deadlines given to staff through the Issue Tracking Database.
Serves as lead coordinator for the Program Implementation eRoom and corridor-specific eRooms, as required. Provides back-up support for Document Control, as requested.
Assures compliance with District Management Directives.
Maintains a schedule of time off (including vacation, floating holidays, comp time, etc.) for the FasTracks Implementation Division..
Schedules and maintains the FasTracks Implementation Division team's calendar daily, determining priorities as required (protecting key times). Coordinates FasTracks Implementation Division staff meetings. Keeps notes and other necessary correspondence associated with such meetings.
Provides back up telephone coverage in conjunction with Department Administrative Assistants, as needed.
Verifies RTD employee expense reports for accuracy and compliance with District travel policies and is delegated to approve expense reports.
Works on special projects as assigned by the Senior Program Manager, FasTracks Implementation.
Prepares specialized technical reports, documents and presentations
Knowledge of PC software; including word processing, spreadsheets, e-mail, and project scheduling, presentation, database and graphics software applications.
Ability to communicate effectively orally and in writing, with tact and diplomacy; includes business communication
